We are seeking a proactive and detail oriented Scheduling Closedown Specialist to oversee the engineer closedown process, ensuring all work is completed to specification, properly commissioned, and billed accurately
Job Description
The Scheduling Closedown Specialist will be responsible for managing the closedown process of engineer Work Orders and Service Appointments from start to finish. This includes ensuring engineers have completed work in line with requirements, confirming that installations have been commissioned correctly, and that all necessary documentation and charges are processed. The role will also oversee the charging of of additional kit used, and out of warranty work
Key Responsibilities
Oversee the engineer closedown process, ensuring all jobs are completed, signed off, and compliant with and customer requirements.
Confirm engineers have correctly commissioned all installed equipment before work orders are closed off.
Validate commissioning documentation, ensuring no faults have been flagged.
Review engineer feedback, particularly for partially completed work, or where work was not carried out at all, and escalate any technical or customer issues as appropriate.
Ensure out of warranty work and additional kit usage is captured, costed, and charged to the customer.
Liaise with Scheduling, Technical Support, Warehouse, and Customer Success teams to resolve any discrepancies.
Maintain accurate records of closedown activities, engineer notes, and associated costs.
Provide reports on closedown performance, recurring issues, and opportunities for process improvement.
Support training and best practice guidance for schedulers and engineers regarding closedown procedures.
Ensure all closedown activity contributes to improved customer satisfaction, operational / commercial efficiency, and accurate revenue recognition.
Qualifications & Experience
Previous experience in scheduling, service coordination, or field engineering support desirable
Strong understanding of work order management, commissioning processes, and service reporting.
Excellent attention to detail and organizational skills, with the ability to manage multiple priorities.
Strong communication skills to liaise effectively with engineers, customers, and internal stakeholders.
Proficiency in Salesforce, scheduling software, and Microsoft Office
Ability to work independently, take ownership, and drive accountability in others.
